Wedding Coordination

Pre-Wedding Planning Sessions

  • Unlimited email communication with coordinator from the time of signing to the wedding date, including questions on issues of vendor selection, décor, logistics, planning, etc.

  • Meet with couple 4-6 weeks out to discuss details.

  • Visit venues with the couples for a detailed walkthrough.

  • Confirm details with the couple 1 week before wedding day.

  • Reach out to all vendors and confirm arrangements and timing.


  • Work with wedding party and officiant to choreograph ceremony, including processional and recessional.

  • Confirm cues, timing, music, and roles.

  • Communicate timeline and event details to wedding party.


  • Ensure ceremony space is entirely set-up to couple's specifications (ie. music, flowers, aisle runners).

  • Coordinate on-time arrival to ceremony for wedding party.

  • Cue music to start and end each piece of music.

  • Line up wedding party and make sure each member is fully prepared (i.e. flowers, rings).

  • Following the ceremony, facilitate photos by gathering family and maintaining "shot list" for photographer.

  • Oversee communication with guests regarding reception (i.e. location, parking/transportation, and timing).


  • Serve as the primary point of contact for guest satisfaction.

  • Ensure reception space is entirely set up to couple's specifications (i.e. layout, centerpieces, candles, table numbers/names, menu cards, gift table, favors).

  • Manage all communication with caterer (i.e. bar and cocktail hour set-up, timeline of event).

  • Ensure on-time arrival of all vendors (i.e. caterer, DJ/band, photographer, videographer, photo booth).

  • Transport anything necessary from ceremony to reception (i.e. guest book, floral arrangements).

  • Oversee timeline of events, announcements, and traditions (i.e. wedding party entrance, first dance, toasts).

  • Work closely with DJ or band to maintain flow of reception.

  • Coordinate with caterer on timing of each course or buffet or passed hors d'oeuvres. 

  • Ensure that clean-up procedure is properly followed.

  • Settle accounts and distribute gratuities to vendors.

  • Place personal items from reception (i.e. gifts) into cars.
